Requirements: National Diploma in Business Administration/Public Administration/Public Management/Office Management and Technology, or an equivalent NQF level 6 qualification, coupled with 2-3 years of rendering secretariat, clerical, and administrative support services to management? A Secretarial Certificate will be an added advantage? Computer literacy (Microsoft package/Office 365) ? Recognition of Prior Learning (RPL) and applicable knowledge and experience on the Job may be considered during the selection process.
Essential criteria: Ideal candidate should possess in-depth and demonstrable knowledge and competence in office administration and management functions and principles, including developing and implementing policies, procedures, processes, systems, and improvements ?In depth and demonstrable knowledge and competence in secretarial functions and principles, as well as developing and implementing related policies, procedures, procedures, systems, and improvements. In-depth and demonstrable knowledge and competence in business management and administration functions and principles ? Knowledge, understanding or exposure to protocols and protocol management.
Key Performance Areas: Professional Support: Provide high – quality and professional support to the Senior Manager to ensure access to dedicated, effective, and efficient secretarial and administrative services at all times • Meetings, Appointments, Events and Functions: Plan, arrange, organise and coordinate appointments, meetings, events, functions and other engagements, as required by the Senior Manager ? Office Administration: Screen, manage, and direct telephone calls and visitors in a professional and welcoming manner, taking concise, accurate and timeous messages when necessary, and provide correct and reliable information when assisting callers and visitors with general enquiries/queries ? Incoming and Outgoing Correspondences: Sort and route incoming and outgoing correspondence and mail for the Senior Manager to ensure there is no backlog. This includes communicating and distributing correspondences and information as and when required, accurately recording and managing incoming correspondences in order of priority on daily basis, and ensuring that fax, email and postal correspondences are checked and responses are prepared on behalf of the Senior Manager ? Office Management Services: Provide office management services to ensure that the Office of the Senior Manager has all necessary policies, procedures, processes, and systems in place ? Document Management System: Establish and maintain a reliable, effective, and efficient filing, information and documentation retrieval system/management for the Senior Manager within the filing protocol of the office to ensure documents are filed timeously and accurately and that the Senior Manager has access to correct and up-to-date files as and when requested ? Shared Administrative Support: Ensure the provision of a shared administrative support function within the office to maintain a credible and effective administrative service is provided to staff at all times. Consolidate regional reports into a single report for MANCO and EXCO.
