Requirements :
Relevant Diploma/Degree with 5 years’ secretarial experience and proficiency in Microsoft Office or Grade 12 with 10 years’ experience as a secretary. Additional secretariat course certificates will serve as added advantage.

Duties :
General Office Administrative Duties: Assist the Head of Department (HOD) with the day-to-day administration of the Department of Orthodontics, including management of the HOD’s diary. Handle all messages, incoming calls and make calls as requested by HOD. Handle in-bound and out-bound correspondence in department. Receive, sort and distribute departmental postal items. Receive visitors of the Department of Orthodontics. Manage departmental records including PMDS reports and assist with departmental leave audits. Make copies of any required documentation for further distribution and other use Student Administrative duties: Upload lectures, distribute student rosters, Handle examination papers, Upload the department’s research outputs, and handle confidential reports. Order reprints of lecture notes, study guides, practical guides, etc. the said material. Assist in tabulating student marks. Organizing meetings, typing of minutes and distributing of agendas to relevant parties. The PA will also be responsible for liaison with UP Enterprises in coordinating workshops and refresher courses in the Department of Orthodontics. Financial Administrative Duties: Provide professional and ethical financial and administration support to the department: Assist with departmental procurement including the preparation of the demand plans, purchase orders and requisitions. To order specialized stationery for the department when required & keep track of departmental financial matters. Carry out any other duties as allocated by the line manager/as needed by the department.
